The City of Biddeford is looking for a highly motivated, eager to learn, team-oriented, and organized individual to serve as the Administrative Assistant in the Recreation Department.
Responsibilities
· Perform a variety of administrative and recreation-related clerical tasks, including:
o Responding to all general department questions
o Answering or directing questions to the appropriate employee
o Maintaining an organized filing system (both on paper and electronically) of calendars, schedules, programs, policies and procedures of the department
· Act as reception for the office, which includes answering phone calls, assisting members of the public (walk-ins), scheduling facility rentals, and coordinating meetings
· Complete weekly payroll, reports, billing, purchasing, and accounts payable for the department
· Readily use the online software registration program to manage:
o Program activities, registrations, cancellations and POS items
o Refunds, cancellations, and payment plans
o Marketing materials, emails, text blasts, and website administration
· Manage marketing and social media for the department, including:
o Social media posts, updates and interactions
o Creation of the quarterly newsletter
o Preparation of press releases for local media outlets
o Notifications and postings regarding closures, schedule changes, and emergencies as directed
Required Qualifications
· Proficiency with computers and technology, including Microsoft Office Suite, Canva, and social media outlets
· Establish healthy, communicative, and respectful working relationships
· Maintain a full workload while managing frequent interruptions, formal schedules, and explicit deadlines
· Engage with the public in a constructive, respectful, and courteous manner
· High School Diploma, 3 years of related experience with any combination of the above, and/OR any equivalent combination of education and experience
· Maintain organization, efficiency, and a positive attitude
· A willingness to demonstrate a commitment to the City of Biddeford's work around diversity, equity, accessibility, and inclusion
Preferred Qualifications
· Experience with MyRec online registration software programming
· Experience in the Parks & Recreation field and an understanding of recreation programming

Schedule: Monday – Tuesday, 7am – 5pm // Wednesday – Thursday, 8am – 4pm
